Job Description – Pine Brook Press Editor

The Pine Brook Press is a quarterly journal appearing in January, April, July and October. The intent is that the Press be in the hands of residents two weeks before each homeowners’ meeting (HOA meetings occur on the last Wednesday of January, April, July and October, unless changed by Board directive). The editor is responsible for collecting and/or writing the content. 

  1. Notices to the people who will write articles for the Press are sent by regular mail, first class, and are to be received by November 15, February 15, May 15 and August 15 (i.e., in the middle of the month two months prior to publication).

  2. Deadlines for articles from contributors are December 15, March 15, June 15 and September 15 (i.e., in the middle of the month preceding publication).

  3. The Advertising Editor keeps track of ads, collects ad money and remits it to the PBH HOA Treasurer, and submits all ad copy to the PB Press Layout Editor by the deadline for articles for each issue. The Advertising Editor tries to fill four of the sixteen pages of copy of each issue with ads. The ads pay for approximately one half to two thirds of the publication cost. Special discount prices are given to Pine Brookers placing ads. The Advertising Editor is responsible for choosing among ads competing for space, for setting the standards for ad copy, and for structuring the cost of the ads.

  4. The Editor collects articles, writes articles (usually about half of each issue is written by the Editor), edits all articles and returns edited copy to the authors or to the subjects of the stories for their approval. The 12 pages of copy and pictures for each issue are then submitted to the Layout Editor by the first of the month of publication, along with a “comic book,” or suggested layout of articles, as a possible guide.

  5. The Layout Editor designs the layout of the publication and prints a proof copy, which is returned to the Editors for final proofing.

  6. The Layout Editor prepares a  proofed hard copy of the Press,  as well as a digital copy (CD), and delivers the copy to the Printer (currently Village Printer, in Boulder). It is wise to remind the Printer that we use extra bright paper, 11 x 17, folded only once and stapled.

  7. The Editor obtains a list of newcomers from Bob DeHaas, enters those names in the address labels file, and prints labels, including labels for advertisers. We should add “or current resident” to the names, to insure delivery. We order 450 copies.

  8. When the copies are retrieved from the Printer, the Editor addresses each copy (using labels), seals the copies, sorts by zip code and delivers them to the Bulk Mail office in the Valmont Post Office. Bulk mail must be paid by check or cash (no credit cards).

  9. Bills for printing and mailing are submitted to the treasurer (currently Dave Davies) for reimbursement.

  10. As each issue is complete, it is put on the PBH HOA Website by the Webmaster. The website is also kept up to date by entering important news in the banner headline on the home page and updating the calendar with community meeting dates and times.
